Automatic file upload to SharePoint Sites in Windows Server 2003 X64

Automatic file transfer between SharePoint document libraries (solution version date 6 Dec 2007)

Comment: previous posts mentioned inability of automatic file transfer between document libraries. This is a workaround, in which we use a Windows folder as temporary location in the automatic procedure.

Applies to: Most windows versions, including Windows server 2003 X64.

Reason for this solution:

Mapping network drive for SharePoint sites works unstable (see posts on disappearing files), and in my case I cannot even create one, apparently because my SharePoint site has a specific port number.
Webdrive 7.XX does not support Windows Server 2003 x64: windows service option does not start up, and drives are not visible by other applications that work as windows service.
Automatic transfer of files directly between document libraries gives errors.

Requirements:

Webdrive 7.XX (or comparable web folder drive mapping application, but try WebDrive first)
RoboTask (or comparable automation application, but try Robotask first)
FireDaemon (or comparable ‘run as a service’ application, but try FireDaemon first)

Procedure:

Install Webdrive, RoboTask and FireDaemon. Do NOT make use of the ‘run as a service’ options in WebDrive and RoboTask, because that options use the local machine service account to access drives, which makes certain features inaccessible, or make WebDrive mapped drives inaccessible for needed applications.
Install Webdrive as service in FireDaemon: Choose a distinctive service name like WebdriveFD. Then, browse for the executable [C:\Program Files (x86)\WebDrive\webdrive.exe], Tick ‘Console Application’, use as logon account an account that has full access to the SharePoint site, tick ‘Interact with desktop’, startup mode Automatic, leave the rest as default.
Install RoboTask as a service in FireDaemon, use the procedure as mentioned above, i.e. use RobotaskFD as name etc.)
FireDaemon will cause WebDrive en RoboTask windows to automatically open (and reappear if you close them). This is o.k. for now, for as long as you are working with their settings. Do not start Webdrive or Robotask through the normal way, because then your current windows account will run them, which we don’t want.
In WebDrive, set the SharePoint connections as drive letters the way you like it. I.e. but the top level site of your SharePoint site as one web drive. Use always the same windows account that has full access to SharePoint document libraries.
Although FireDaemon uses the same windows account for WebDrive, the drive letters are not accessible for the current account that is logged in on the Windows console: i.e. in your Windows Explorer you might not see WebDrive drive letters, and if you use the same letters or they are inaccessible; just leave them as they are.
A way to check if the ‘background’ drive letters are successfully created and accessible, is to use Robotask (which uses the same login account in FireDaemon): In Robotask, make a ‘Move’ task that moves files from a pickup folder (a windows folder) to a document library in your newly created drive letter. (Later you can set the Move task to check the windows pickup folder if files change; if they do, a procedure starts to move the contents to a document library. You can add multiple tasks with wildcard filters, i.e. files that start with “XX-“ are moved to the document library that has a topic with code XX- etc.)

Creating a new, or changing settings of the background WebDrive connection:

1. While the FireDaemon services are running, open WebDrive main window by right-clicking on the WebDrive icon in the tray.

2. Add a new connection or change settings the way you want, including correct credentials to login into the MOSS site.

3. Important: tick 'Connect at login/startup'

4. Click 'Connect'

5. There will be a popup error message “Drive XX does not exist”. Ignore that error message because the drive has successfully been made in the background. (it is your current logged on windows account that tries to access the drive)

6. Open de FireDaemon Service Manager,

7. First Restart the FireDaemon WebDrive service

8. Then Restart the FireDaemon RoboTask service

9. The Robotask is now able to use the new WebDrive drive letter for its tasks, which you can check by creating a copy task and browsing inside RoboTask application for the newly created drive letter. Your current logged on windows account you will see network drives as 'Disconnected Network drives' which cannot be accessed or disconnected. I have not been able to remove these icons from the Windows explorer without losing the background drive connections, so leave them as they are.

Disconnecting a background WebDrive connection:

1. While all FireDaemon services are running, open WebDrive (through Start menu or by right-clicking on the icon in the tray)

2. Untick 'Connect at login/startup/'

3. Click Exit.

4. Restart the FireDaemon WebDrive service

5. After that, restart the FireDaemon RoboTask service

Note: when disconnected, the WebDrive drive letter will be visible in the Robotask browse menu, but won't be accessible.

Deleting a background WebDrive connection:

1. First disconnect the network drive as mentioned above (up to restarting the services which is not necessary yet)

2. Then open Webdrive again and delete the network drive connection.

3. Restart the FireDaemon WebDrive service, and after that restart the FireDaemon RoboTask service.

Note: change settings when using the console account, not through a remote desktop account because then you won’t see the icons in the tray.

When installing the Webdrive and Robotask services in FireDaemon, both services should be set running on a Windows user account that can access MOSS sites and that is primarily used for background services like this. Use another account to log into Windows console yourself or things start to conflict if you edit the WebDrive settings.

Comment: You never need to reboot in order to create or delete a drive. Especially for deleting network connections, just follow the instructions mentioned above.

Solution for automatic document transport between document libraries:

Robotask (and other file transfer programs I checked) cannot automatically move files between document libraries, either a copy/move error appear or changes to files on the server side are not noticed.

A workaround is to create two different tasks: one that moves files from a document library to a windows folder, and another task that moves files from the windows folder to a document library. This works like a charm, although you need to take care of the cache settings in WebDrive:

1. Open Webdrive main window - File - Program settings - Cache settings - Options

2. Tick "Multi user, validate cached files with server"

3. Set 'Cache recent file information in memory for' 15 seconds.

If you don’t apply these cache settings, WebDrive won’t notice that files are changed at the server, therefore the task of Robotask to watch folders for changes, won’t work.

Last comments:

· After you tested everything and all works, untick the 'Interact with desktop' option under Settings in FireDaemon for both WebDrive and RoboTask, so that those windows will disappear.
If you want to change any setting in either application, you need to tick "Interact with desktop again', after which the windows and settings become visible again. Remember that opening and using Webdrive and Robotask in the ordinary way won't affect the settings of those applications in FireDaemon, so only do it the way mentioned above.

· If you are feeling creative, you can try to make batch files of all procedures mentioned above. Some will be needed to ‘run as’ the background user account.

Smart Art Templates for Word 2007

The Microsoft Office Newsletter tells from where to download some new smart art templates. I did that, and put them in a folder of my choosing, as they did not suggest an Office folder. The instructions are to open Word 2007, click insert - smart art - and choose a gallery. Well, surprise, surprise, they aren't showing up in any gallery. How do I tell Word 2007 where to look for the new templates? Or, to where should I move them to have them show up?

The download page should have placed a .glox file in the hidden folder C:\Documents and Settings\<your name>\Application Data\Microsoft\Templates\SmartArt Graphics. If you downloaded it to somewhere else, copy or move it there.

You may have to search through the SmartArt gallery for the new template. The template itself tells Word which category to put it in, but the web page doesn't give you any hint of where to find it. For example, the Picture Organization Chart template goes into the Hierarchy group, while the Tabbed Arc template goes rather arbitrarily into the Relationship group. (If you know the trick of changing the extension from .glox to .zip and opening the archive, you can find the category in the \diagrams\layoutHeader1.xml file.)

Thank you, Jay. I tried to follow that path, and was blocked at Documents and Settings. Even though I ran as administrator, it would not let me open that file. Do you know how to do that?

Anyway, I do have access to the stuff under <My Name>, including and Application data. So, I followed it down to the SmartArt Graphics folder, found it was empty, and pasted in the new .glox files. Sure enough, I was able to find two of the new graphic thingies, whatever it is. There were, of course, all those that come with the Office07 installation. It is really a shame that they can't show the colored graphics in the list, so we could recognize the new ones by their colored scheme.

I am searching for a weppart or some code for a custom webpart on my company intranet. The webpart must be able to suck up events from calendars below (hieararchy) the homepage. In other words, I'd like the webpart to grab the events from other Calendar/event lists below - in the same site.

I've got a newspart that can do this, but would like the calendar to do the same.

Anyone ever seen this, or got an idea of how to create such ?

Web Application No Page Found

I have just installed SharePoint Server 2007 on W2K3 server with all the latest updates.

When I create a new web application with a site or without I cannot access the web page. I keep getting a page not found. It doesn't matter if I setup the pages at http or https. I can view the page if I goto IIS and click browse on the web page. I cannot view it from any clients or from the local host. This is also the only server in my deployment.

Does anyone have any idea on what would be causing this? Oh and the default web application and site that was created works fine.

It looks to that it has to be with naming configuration because you say that you can access the site from IIS.

You could make sure that the web site is properly configured in IIS , (port number, address etc)

Then try ping the SharePoint site from a nother computer.. is this successful?

Then maybe the problem is with alternace access mappings in the central administration site-operation-alternace access mapping.

I have upload a Excel document wih the name - printerconfig.xls in a document library.

If i type in at MOSS 2007 search - printer, he didn't find the file.

If i type in config, he also didn't find the file.

If i type in .xls, he find the file.

I have tried Wildcards for example printer*, but he also didn't find the file!

Can somebody help me about this?

Hi,
I added this part to MySiteDef that I created from STS Site def and it seems to work fine (please let me know if I am wrong). I did not create from BLANKINTERNET site def.

The only problem is that i have a default.aspx page in root (from STS site def), but the site gets redirected to pages/default.aspx as home page since it includes this publishing feature.

Other than that i have all the custom lists i added in MySiteDef available.

Am i missing some thing here??

It does work!! (Hopefully no hidden problems)

Newly created site out of this site def. has publising features, and also it has Basic Site Tempalate files. This is feature node i added in cofiguration section on onet.xml for a team site with some custom webparts in default.aspx

interesting this here is that since in specified "WelcomePageUrl" as a property, SharePoint did not create a default.aspx publishing page in "Pages" document library. It used the default.aspx created from Team Site as welcome page! All the default Lists and document libraries are created for publishing site, but nothing in them.

My default.aspx page (with my cusom webparts) from Team Site is now the default page for my site.(which is what i wanted). Great!!!

One more good thing here is that users can select only one site from Site Creation page from this current site and all its subsites.("AvailableWebTemplates" property). Again great !!!Now i also have the flexibiliy to do conditional site creation template to show for users for different sites (using "AvailableWebTemplates" property for different sites)!!

but now the problem for me is to restrict users from creating Meeting Workspace from Event list. Since the site is from "Team Site" site def., Meeting Workspace creation page shows all the out-of-box available WS sites.

Any one has any idea to go further from here?

Very cool. Glad that worked for you...

If I understand what you want to do, it seems like you now want to do this...

You can globally hide any site definition (but this will apply to all web apps on this box if you do this...) by setting the Hidden="False" property to true in the webtemp.xml file for the site def you want to hide.

So, MS owns certain things in the SP, and, they reserve the right to overwrite your changes if you decide you are going to mess with them when they release a service pack, so, I made a copy of the webtemp.xml file, called it webtemp-hide.xml and put it in the same directory ....12\TEMPLATE\1033\XML. I then changed the Hidden key to true (Hidden="True") for any site def I didn't want to be available ever (we have a fairly controlled environment).

You'd probably want to do this...

Thanks for the suggestion, but i can not do that since we are in a shared environemnt. :(

I also noticed that even you restrict the available Work Space (Meeting) templates for subsites using "Page layouts and site templates", creating a Work Space from a Events list on the same site is not working."_layouts/templatepick.aspx" file that is used to display available WorkSpace template is not following the restriction set using "Page layouts and site templates"!!

This seems wrong though. Is this a know BUG?? Can you please give your insight on this??

Sorting the default listing

I have a site directory and the listing has been customized. I have added additional sorting criteria which can be clicked on after the initial load but i would like the first load of the list to be sorted by title.

I have tried editing the XSL with the editor and chaning the following in the correct locations but it is still not working.

     <xsl:param name="dvt_sortfield">Title</xsl:param>
     <xsl:param name="dvt_sortdir">asc</xsl:param>

Any ideas?

SharedServices1 won't launch

I hope someone here can help a new SharePoint Admin. Today we had to replace the mother board on the HP server which hosts our SQL2005, SharePoint2007, Reporting Services and Integration Services.

The server came back online with no apparent problems, all of the SQL things run OK, Sharepoint Central Administration loads and shows all services running. However we cannot launch SharedServices1 from Central Administration or load either of the two SharePoint sites we've created.

I think I've done all of the usual things, stopped and started all of the services, IISRESET, checked the event logs for errors, checked in the IIS admin to make sure that the websites were running.

The only other thing we've done to the server was to apply the KB923028 Hot Fix yesterday which was suggested due to the event ID 6482 & 7076 errors we started seeing in the event log.

The SharePoint sites are not fully live yet so I can't say for sure that they were working yesterday after I did the Hot Fix. The first time I tried to load them was after bringing the server up following the replacement of the mother board this morning. That was when I discovered our current problem.

I guess my question is if either of these two things could have caused our sites to stop working? Does SharePoint look at the hardware level in some way for authentication? Has anyone else applied the KB923028 patch on their SP sites?

Any suggestions on things to try or to look at would be appreciated.

Thank you for responding. We just tried removing the Hot Fix with no luck. Unfortunatly, since we were in the early stages of deploying SharePoint, any other restore point is before we installed the SP software. I'm hoping to avoid loosing about two weeks of effort spent building up our company's intranet to a point where we were within days of taking it live.

Did you find solution to this problem. I am also facing same issue:

I have installed sharepoint 2007 in farm environment. In sharepoint central admin- Manage this farm services section, if I click on SharedServices1, I get error Page not found. Error details: HTTP Error 404: File or directory not found. To fix this problem, I added other SSP and created SharedServices2. Now when I click on SharedServices2, I get error 'the page cannot be found'.

I need this link working for configuring my excel services like adding trusted file locations.

Any help will be appreciated.

Yes we did find the cause of our problem. It was in the DNS database. The server which hosts our SP site had to have its mother board replaced. When we rebooted the server, it was assigned a different IP address from the one listed in the DNS database. Once we corrected that everything worked as before.

In detail, what we did to make sure we didn't have a repeat of the problem was to make a permanent reservation in the DHCP database for the MAC address for the NIC in the server. That way when we reboot we will always have the same IP address on that machine. Then we created an "A" record in the DNS database for the IP address for the SharePoint sites we had deployed.

I've got a MOSS 2007 document center and records center running on separate Sharepoint applications. When I attempt to send a record from a document library in the document center to the Records Center, I receive:

1. The Records Center URL displays the WSDL response as expected.
2. If I install a new site collection on the same application as the Document Center, and install a records center there, it works perfectly (after changing the Record Center URL, obviously).
3. I can't find anything regarding the "alternateURL is null" and "hostHeaderSiteInfo is null" messages, which I suspect might be a clue.

Any thoughts? I'm suspecting it's permissions-related, but all accounts running the application pools are highly privileged, at least until I figure out the problem.

Usually when you receive this type of error message, there is a problem with the configuration of the Record Centers URL. Or, the permission to send items to the record center are not configured. The permissions must be configured on the records center. It is located in the Permissions Management for the entire site.

Aha - that was it! I assumed that my authentication would pass across to the Records Center site, and so I was simply allowing *myself* permission to the records center.

But instead I needed to add the account under which the sending site's application pool was running, to the group "Records Center Web Service Submitters".

Seems pretty obvious in retrospect, but I was stuck. Thanks Corro'll for the help!

I want to create a SearchAlert in SharePoint 2007 using C# referencing Microsoft.Office.Server, Microsoft.Office.Server.Search and Microsoft.SharePoint dlls. I have used the following code to create one, which creates an alert but does not create in the right place. I mean it gets created in "Intranet > Site Settings > User Alerts". I want it to be created in "Intranet > Search > People and Groups > User Information > My Alerts on this Site".

I think I need to specify the "SearchCenter" web application but donot know where to specify it.

I have looked at the SharePoint table "SchedSubscriptions", it has a wrong value in WebId i.e has Intranet's WebId instead of SearchCenter, WebUrl is empty it should be "/SearchCenter", WebTitle is "Intranet" instead of "Search"

We found the issue with code. When searchAlert.InnerAlert.User.Email is set explicitly it treats it as a System Account and does not even get the initial notification email.

New code is

We are currently planning to migrate from SPPS 2003 to MOSS 2007. Right now we use two forms of authentication. One front-end server is running IWA and handles on the intranet requests, and the other server is configured for Basic using SSL andhandles all the Extranet requests. We ended up in this confiuration, working with Microsoft, because IIS 6.0 would not alow the users to not supply the domain information when logging in from the Internet, meaning they had to type DOMAIN\username in the username field. This was a mjor concern for our support staff, since every has already been logging in with just thier username and password for OWA since it was running basic with SSL.

So my questions is this? Am I still going to have to have two seperate front-end boxes to handle the two forms of authentication?

We have a mixed environment were some users authenticate to AD and some don't. The users that don't log on to there pc's via a local account. One such user clicked his sharepoint link and was prompted to authenticate and did so using <domain>\<username> and then entered his password. While doing so, he checked the box to remember username and password. Since then, he has not been prompted again.

My question, when you check this box, where is your username and password stored?

I would imagine that this user is (as his domain name) a member of an AD Group that has permissions to access the site (if he hasn't been allocated as a domain user directly).

So he has two ways to access the site (local user / domain name) and now that he has once accessed the site with his domain account, future accesses will use the same information.

(Not answering the final question because I a) don't know the answer and b) I think the reason for the present functionaliy lies elsewhere)

If you are using Internet Explorer then when you check the "remember username and password" checkbox IE encrypts the details are stores them on the local machine.

(I don't know exactly where IE stores the details, but Windows XP does have an area for securly storing passwords (e.g. for file shares) and I would expect IE would use this area).

One thing to note is that if an administrator resets or changes the users password then the saved passwords will be deleted and the user will need to reenter them. This is because the encryption used to encrypt the username and password is partially based on the users password.

CorasWorks used to have cross-site list consolidation in their suite of programs for WSS 2.0 (and SPS 2003) and I presume this is still available in their present suite for the v3 SharePoint products. The suite of course costs quite a bit but it's less than MOSS 2007.

Hi Guys,

I'm using ASP.Net and WebDAV to create exchange appointments with data from a webform attached as custom properties. The exchange custom properties have the namespace "mtappointment:".

The client eventually wants to create an Outlook custom form that gets populated with the custom property values from exchange. The idea is that the outlook form will mirror the information captured on the webform.

I've verified that the appointments are being created and that the custom properties are all there, but - as an Outlook newbie - I have no idea if it's possible to access the custom exchange properties with an outlook custom form. So, is it possible and how would I go about creating a form/script to do this?

Exchange and Outlook are both 2003.

Okay, I just figured this one out.

In case anyone else runs into this (highly unlikely!) the solution is to create your properties with WebDAV using the namespace:

http://schemas.microsoft.com/mapi/string/{00020329-0000-0000-C000-000000000046}/

Then create fields on the outlook form that retrieve their value from a user-defined field with the same name as the custom property created using WebDAV.

I figured out the root cause. This is due to the URL Encoding in SharePoint 2007. I am sure your site url will be something like this myporta-subport.company.com. This is where problem begings. Url enocder encodes the - to %2e or something and when you click on this it does not have effect. But if you copy and paste the link to IE it will work. The file where this thing is resolve is Core.JS so if you are looking to correct this sit back and read the file.

I hope I am in the right place. :)

We are thinking of rolling out MOSS 2007 for our company for group collaboration, share documents etc. I have a good feeling that if and when we do roll this out, other departments will want access to it as well.

Ok. So I have downloaded the trial, done a few test installs and run throughs and have the actual install of MOSS down pretty well.

My real question is configuring Sharepoint AFTER install.

Here is where I am a little confused.

1. Creating a New Web Application

2. Creating a New SSP

3. Creating a new Site collection

Since we are testing this in our IT department right now, so if I wanted to create say:

http://itportal.mycompany.com

Ok...I think I get confused with the difference between "New Web Application" and "New Site Collection".

What is the difference? Which of the two would give me: http://itportal.mycompany.com

Just trying to understand the differences.
Might have to go and buy a book on Sharepoint. :)

I will try to explain this for you:

In Sharepoint 2007 (MOSS and WSS) we have something that is called web application. This is actually an IIS web site.

Then you need to create at least one site collection in that sharepoint web application to hold content. This is a virtual directory in IIS.

Then you can create sub-sites in that site collection or sites in new top site collection depending on your need for that site.

So what you really need to create http://itportal.mycompany.com is a Web application (Sharepoint) and a site collection in that Web application to hold content.

If I can ask one more question:

I was playing around in CA. I created a new "web application."

I gave it a description: My Company IT Portal
Port 80
Host header: itportal.mycompany.com
Kept everything else pretty much default, but entered the account for the application pool.

Simple enough.

Now, I went to create a SSP (first creation of SSP).

I selected the web application I just made.

The SSP Admin link was: http://itportal.mycompany.com/ssp/admin

Under My Site location:
My site location url: http://itportal.mycompany.com
Relative URL: I added /mysites

Added the service account and then clicked ok. When I do that, i get this message:

WARNING:

SSP Administration site and My Sites on the same Web application. We recommend using different web applications to host the SSP administration site and My sites, so you can backup and restore my sites independetly.

Click CANCEL to go back. Click OK to proceed.

So it really makes sense what they are saying. My main question is, do I create a Web Application for just SSP Administration? If so, is their a naming convention that is recommended?

Something like:

/ssp/admin">http://<servername>/ssp/admin

I've not tried it with a different server name but moving a content database which is really all your doing should be relatively stratightforward. Load it into SQL server first and then attach it using stsadm and the addcontentdb command line option.

I managed to attach the db and open the site collection by using a virtual server with the same name. I didn bither anymore about other server name.

The only thing is that I first had to:
1. Attach the db in SQLserver (i.e. in Management Studio)
2. In Cenral Admin create a new web application with the exact same settings as the old one,
3. after that delete the empty content db and add the full content db (still in Central Admin).

This upgraded the db automatically.

this is a silly question.

how can I set a "Page" from "Pages" to be displayed at the root of the
site. I was thinking it would be called "default page" or something,
but I cant find it.

It is called Welcome Page in Site Settings: /_Layouts/AreaWelcomePage.aspx

SPS2003 Add Link to Site not working

Today something odd started happening. When the page comes up to Add a link to Site for the site creation process ,I can fill out the information but when I click Ok, the Ok button goes grey and the page does nothing. After that I can enter the URL for the new site and continue to setup the site template and eventually enter the site. However when I go back to the Site Directory the site is nowhere to be found.

The only bit of information I've been able to find on this problem is this MS article: http://support.microsoft.com/kb/934229, which has no solution as of yet.

I did just change the login and password that the Configuration Database Administration Account, Default Content Access Account, and Portal Site Application Pool Identity were using. That is the only thing that has been changed recently though. Has anyone come across this before? Thanks.

Check to see if you have windows server 2003 sp2 installed. if so try removing it. That worked for me.

Hi,

I had the same problem and didn't feel like removing SP2 so I came up with
the following solution:

1. Open this file in a text editor:

C:\Program Files\Common Files\Microsoft Shared\web server extensions\60\TEMPLATE\[LCID]\SPSSITES\LISTS\SITESLST\NewForm.aspx

(Replace [LCID] with your locale identifier, 1033 for English)

2. Find this code fragment:

<SPSWC:InputFormButtonAtBottom ID="ButtonOk" runat="server"
TextLocId="Page_OkButton_Text"/>
<SPSWC:InputFormButtonAtBottom ID="ButtonCancel" runat="server"

</SPSWC:InputFormButtonSection>

3. Replace it with this code fragment:

<SPSWC:InputFormButtonSection runat="server">

<input type="button" value=" OK "
onclick="document.forms[0].submit()" />

TextLocId="Page_CancelButton_Text" visible="false" />

4. Thats it;-)

At last a fix / Work around for a problem that MS seems to be unwilling to resolve!!! :-)

This needs to be highlighted to everyone else having the same problem.
